What changes

Without Van Bieren

  • Hundreds of suppliers in your systems, each with its own number
  • Product data of varying quality
  • Separate invoices per supplier and per store
  • Supplier questions landing with buying and finance

With Van Bieren

  • One supplier carrying all local brands
  • Complete product data in GS1
  • One invoice flow, checked against what was received
  • Supplier support through our portal

How it works

  1. 01

    Connect once

We connect to your systems through EDI. New suppliers then use the same connection.

  2. 02

    Onboard suppliers

Suppliers sign up in our portal. We help them submit product data in GS1 and record their prices.

  3. 03

    Order and deliver

We align the ordering process with your organisation. Suppliers deliver directly to stores or through a distribution centre.

  4. 04

    Invoice and stock

We check invoices against delivery records and update stock records with a dispatch advice (DESADV).

Every invoice checked before you see it

Local suppliers may use different invoice formats and processes. Quantities or prices can also differ from the order or delivery.

That is why we check every invoice before it reaches you.

Ordered, delivered, invoiced

We automatically match every supplier invoice against the order and the receipt. This is called three-way matching.

  1. 1Ordered: Your store's order.
  2. 2Delivered: What was actually received at your store or DC.
  3. 3Invoiced: Line by line, item by item.

If everything matches, the invoice goes through.

If something does not match, we hold the invoice and resolve it with the supplier.

What you notice

  • You only pay for what was delivered, at the price that was agreed.
  • One point of contact instead of dozens of suppliers with their own invoices.
  • We investigate differences in quantities and prices with the supplier.
  • Our checks identify differences from the agreed purchase prices.

1000+invoices per month

Proven in practice

Every month we check more than 1,000 invoices from local suppliers this way, for over 1,000 stores.

Tailored to your concept

Every retailer works differently. We adapt how we work to your organisation, so it fits your systems, ordering routes and way of delivering.

Frequently asked questions

What does Van Bieren do for a retailer?

Van Bieren bundles local suppliers into one supplier for the retailer. The retailer has one supplier number, one EDI connection, one invoice flow and one point of contact. We handle product data in GS1, pricing, orders, dispatch advices and invoice checks.

How does Van Bieren connect to our systems?

Through one EDI connection for orders, dispatch advices (DESADV) and invoices. New suppliers run through the same connection, so nothing needs to be set up per supplier.

How do you check supplier invoices?

With three-way matching: we automatically match every invoice against the order and the receipt at the store or DC. If everything matches, the invoice goes through. If something is off, such as a higher price or more invoiced than delivered, we hold it and resolve it with the supplier.

Which delivery models are possible?

Direct store delivery and delivery through a distribution centre. Which suits you depends on your organisation and the product.

Does it only work for drinks?

No. It works for every category in the store.
